Project tracking: what going on

Any project coordinator operates four components: spending, timing, duration and quality. Professional PMs also attempt to make the organization of business processes better. Take any project and you will see that it requires labour, funds and tools to deliver satisfactory outcomes. There are a number of things that are vital for efficient project management. A couple of them are listed in the next paragraph:
- Establishing goals and conducting analysis.
- Dealing with risk. Most have a certain level of risk.
- Choosing labor and tools for the project.
- Having a clear idea about the product you want to see when the project is finished.
- Controlling what is happening: giving out jobs, supervising execution.
- Managing adequate quality.
- Dealing with change. Circumstances change. The majority of tasks occur in time, so the element of dynamics has to be properly considered.
- Talking to people doing the project.
To deal with these elements you can use pen and a notepad or probably MS EXCEL. But you get some interesting advantages if you decide to use project tracking software:
- Task are easier to assign to time blocks. The length of work can be calculated by the program depending on the workload data. Every resource can possess their own calendar. Tracking work-in-progress also becomes less of a problem.
- Managing several projects with various requirements. Management can use productivity tracking software to simplify analysis of several big projects.
- It helps you find the critical path. The critical path is an important concept in project planning. If an activity on the critical path lasts more time than the manager planned, dates of work on other tasks will be altered. At the same time for tasks that are outside the critical path minor modifications in duration can have no impact whatsoever on the project.
- Distributing information among the team members. The more complex are the project needs, the more of them have to be talked about. Groupware productivity tracking software allows each participant to know what is up every time.
Is it always a must to employ task tracking software?
Like any software solution, project tracking software has its limitation. The most suitable time to use such software is when you work on a few large projects. Small projects can be managed using a spreadsheet program which helps you save on overhead costs of employing such complex software.
